The opportunity
This role designs the operating framework that will support reliable fund administration, portfolio monitoring and investor reporting. The role is central to making the proposed product manageable at scale and ensuring that investment decisions are supported by accurate, timely and appropriately governed information.
What you will lead
- Design the operating model with the selected fund administrator, auditor, custodian, banking partners and other relevant service providers.
- Establish workflows and controls for subscriptions, capital calls, cash management, allocations, valuations, expenses, distributions and investor servicing, as applicable to the final structure.
- Define a portfolio-monitoring framework for underlying GPs, fund positions, capital calls, distributions, unfunded commitments, exposures and material risks.
- Set standards for NAV data collection, valuation oversight, reconciliation, data quality and exception escalation.
- Develop investor-reporting requirements, templates, delivery calendars and management information for internal governance.
- Identify appropriate systems, data flows, process automation and control evidence without over-engineering the initial launch.
Experience and approach
- Senior experience in private-market fund operations, fund administration, portfolio monitoring, investor relations or operational due diligence.
- A sound understanding of private-equity and alternative-fund cash flows, capital accounts, valuations, commitments and investor reporting.
- Strong process design, control, reconciliation and data-quality skills.
- Ability to manage external service providers and challenge incomplete or inconsistent reporting.
- A practical approach to technology: prioritise dependable controls and useful data before complex automation.
Initial priorities
- Map the end-to-end operating lifecycle and identify key controls and owners.
- Develop an initial investor and portfolio-reporting specification.
- Define operational due diligence requirements for potential underlying managers and service providers.
- Recommend the minimum viable systems and data model for a controlled launch.
What success looks like
A robust, proportionate operating model; dependable reporting and reconciliations; clear accountability across providers; and timely visibility of portfolio and investor matters.
